The International School of Lausanne (ISL) is a leading non-profit, English language, International Baccalaureate (IB) World School set in the French speaking part of Switzerland. Our school is committed to excellence in education. The school employs approximately 250 members of staff on its campus where we welcome approximately 950 students from over 60 nationalities, from 3 to 18 years of age.

We are seeking an experienced, self-motivated, and customer-oriented

Receptionist/ Front Desk Administrative Assistant 100%

Permanent position from 1 April 2020

Working as part of the front desk team (3 people), you will be pivotal in ensuring everyone is made to feel welcome and receives a positive customer service experience when they enter the school alongside offering administrative support throughout the day.

Main responsibilities:

Reception:

  • Receive visitors, students, and parents by greeting, welcoming, and directing them to the appropriate person or location
  • Ensure the parents and visitors meeting points and rooms are clean, tidy, and ready for use
  • Manage the school telephone system; answer, screen, and forward incoming phone calls
  • Be well-informed of school events, admissions, and administrative processes for sharing information to appropriate parties

Administration:

  • Provide administrative support in maintaining the School database on a daily basis (tracking students’ attendance, updating family details, etc.)
  • Receive and sort daily deliveries and mail and distribute to the relevant departments
  • Coordinate and schedule school facilities and meeting rooms
  • Perform miscellaneous administrative activities such as after-school care and school cafeteria registrations, and preparation of diverse documents
  • Process miscellaneous expenses, ensuring costs are allocated to the relevant departments

Health and Safety:

  • Be fully aware of the school’s child safeguarding and safety procedures and regulations
  • Carry out nominated tasks in the event of an emergency, including the evacuation of the building

Desired profile:

  • Vocational qualification in hotel management, tourism, commercial field, or any other hospitality-related field
  • Previous experience of at least 3 years as a receptionist in an international environment
  • Excellent verbal and written communication skills in French (C1 minimum) and English (C1 minimum) with very good listening skills
  • Another language such as Spanish, German, or Italian would be desirable
  • Excellent customer service and interpersonal skills with the ability to act with tact and diplomacy in all kinds of situations
  • Ability to handle multiple tasks simultaneously, set priorities, and be flexible with changing priorities
  • Ability to interact and foster positive working relationships in a culturally diverse environment
  • Accountable, displaying a can-do attitude and the ability to proactively propose solutions when facing issues
  • Discrete, reliable, and trustworthy
  • Proficiency in Microsoft Office (Outlook, Word and Excel)
  • Swiss nationality or valid work permit
